Master Tables in Kapture.io
Centralize users and items in a single source of information for your entire QMS.
What are Master Tables in Kapture.io?
Master Tables is the module designed to organize the core data used by Kapture.io. Currently, this feature allows you to manage two types of key information: users and articles.
In this section, customers can upload and maintain data that is later reused in various forms, programs, and system processes. Thus, if a part number has already been entered in the master part table, it can be used later when creating a control plan or configuring processes related to that part number.
The goal is to have a single source of standardized, up-to-date, and reusable information. This prevents duplication, reduces manual errors, and makes it easier for the various modules to work with the same reference data.
A single source of information for the entire system
In a QMS, data quality is just as important as the implementation of controls. If the same reference, user, or item is recorded in different ways, reports lose reliability, dashboards may display fragmented information, and traceability becomes more difficult to maintain.
With Master Tables, Kapture.io helps maintain a consistent structure across the entire platform. Data is created once, standardized, and reused in the modules that need it. This allows information to flow more smoothly between processes and enables teams to work with consistent records.
- Avoid duplicate entries across different modules.
- It reduces data duplication and inconsistencies.
- Improve the quality of the information used in forms and reports.
- It makes it easier to analyze data in dashboards and reports.
- It brings more order to QMS administration.
When master data is well-structured, the entire system operates more consistently.
Master List of Items
The master item table allows you to centralize reference information associated with the items used within Kapture.io. From this section, the customer can enter, view, and maintain key data such as reference, name, description, category, family, subfamily, supplier, customer, project, price, or cycle.

This information can then be used in other QMS processes, eliminating the need for users to repeatedly enter the same data into different forms or modules. As a result, all teams work with a single, valid, up-to-date, and reusable reference.
In addition, the master item table allows for bulk uploads from Excel, making it possible to add multiple items at once without having to create the records manually, one by one.

Key Benefits
- Centralize articles and references in one place.
- It facilitates the reuse of information in quality processes.
- Reduces errors caused by repeated manual data entry.
- Improve the consistency of the data used in guidelines, forms, and reports.
- It allows you to maintain a more organized and scalable product database.
Master User Table
The master user table allows you to centralize functional information about users registered in Kapture.io. From this section, the client can view and maintain relevant data for each user, facilitating administration and control within the platform.

This table contains information such as username, first name, last name, full name, email address, organization, location, department, section, language, status, activation status, privileges, and other data necessary to manage access and operations within the QMS.
By centralizing this information, Kapture.io prevents users from having to manage themselves in isolation within each module. Once registered, users can be made available for processes such as Control Procedures, Audits, Nonconformities, or other features where it is necessary to assign responsible parties, validate actions, or view information associated with a user.

Key Benefits
- It centralizes users’ functional information.
- It simplifies the management and maintenance of personal and operational data.
- It helps manage statuses, activation, and privileges within the platform.
- It reduces inconsistencies by working with a single user database.
- Improves the organization of assigning responsibilities and tracking actions.
History and Change Tracking
In Kapture.io, Master Table records can include a history view that allows you to view changes made and document the reason for an edit.
This is especially useful when modifying sensitive data or information that is already being used in other QMS processes. Recording the reason for a change helps maintain context, facilitates internal review, and provides greater clarity on how master data evolves.
When a reference, item, or user changes without proper oversight, inconsistencies can arise in forms, reports, or processes that have already been configured. With a change history, the team can understand what was modified, why it was done, and how the information evolves within the system.
- It allows you to document the reason for the changes.
- It makes it easier to track changes to master records.
- It provides greater control over the information used by various modules.
- It helps keep the database more organized and reliable.
- It reduces the risk of changes made without context or justification.
