Maintenance audits with Kapture.io

How to standardize them and turn data into improvements

Complying with procedures and executing tasks in a standardized manner is critical to equipment availability and safety. A well-designed maintenance audit not only verifies “compliance”, but also generates useful data to correct deviations, prioritize actions and reduce costs.

What is a Maintenance Audit and why does it matter?

Maintenance audits are systematic assessments that validate the execution of routines, document integrity and the condition of equipment and facilities. The benefits are clear: Fewer unplanned shutdowns, increased reliability, evidence for customer audits and data-driven decisions.

The objective is clear: to find out where a given department stands, find the points of improvement, and define the corrective actions needed to improve results. To achieve this, it is essential to follow a series of steps to ensure the success of the maintenance audit:

Preparatory phase

  1. Select documents that can be used to assist in the execution of the audit.
  2. Create an audit plan
  3. Disseminate information related to the plan and scope, especially to maintenance personnel involved in the audit.

2. Execution of the audit

  1. Assess and monitor the situation in the field
  2. Detect if there are any deviations or errors and evaluate the impact they have on the pre-established objectives through a Issue list.
  3. Investigation of the origin of the errors.
  4. Dissemination of the audit results to the maintenance personnel involved, who can also provide their own observations to the auditor.

3. Exploitation of the audit

  1. Prepare a final audit report and communicate it to the maintenance department.
  2. The maintenance department must take stock of the findings and draw up an action plan to correct or improve the aspects affected. This is transmitted to the auditing department, which issues an opinion on whether these measures are adequate or not, and, if it considers it necessary, may propose to set up a new audit (follow-up audit).

This whole process can be more or less simple to manage, depending on the tools available. SaaS platforms such as Kapture.io have modules specifically designed to facilitate maintenance audits, which can be managed in real time by any authorized user, using customized templates and generating issue lists for each of the audited processes.
