Artificial intelligence is already beginning to transform the way companies interact with their quality management systems. In a modern QMS, AI can help answer questions, guide users, facilitate access to documentation, automate tasks, and turn internal knowledge into a much more streamlined experience.
At Kapture.io, we are moving in that direction with real-world use cases. We have developed an AI-powered chatbot in collaboration with a platform specializing in intelligent agents at Barcelona Activa, and we are also working on new agents focused on automation and the integration of AI within our platform.
The goal is not to replace the quality team, but to provide a layer of intelligent support that helps users find resources, understand processes, and move forward more quickly, with greater context and traceability.
What Is an AI-Powered QMS?
An AI-powered QMS is a quality management system that incorporates artificial intelligence to help teams access information, interpret procedures, automate repetitive tasks, and make better decisions within their quality processes. It does not replace the quality manager but rather acts as a layer of intelligent support for the QMS’s documentation system, workflows, and data.
From a Digital QMS to an AI-Powered QMS
For years, QMS systems have helped organizations digitize documents, audits, nonconformities, corrective actions, metrics, and continuous improvement processes. However, digitization alone is no longer enough. The next step is for the system not only to store information but also to help interpret it, search for it, summarize it, and turn it into concrete actions.
That’s where artificial intelligence applied to QMS comes in. AI enables users to interact with the system more naturally, reduce search times, and receive contextual support to perform high-quality tasks more efficiently, without losing traceability or control.
Benefits of Integrating AI into a QMS
Integrating artificial intelligence into a QMS can lead to significant improvements in the way teams access information, manage tasks, and make decisions within the quality management system. AI does not automatically make a process better, but it can help users work with more context, less friction, and greater speed.
The result is a quality management system that is more agile, more useful, and more closely aligned with the teams’ day-to-day operations, without compromising the traceability, oversight, and rigor required by quality management.
Use Case: AI chatbot within Kapture.io
One of the first use cases for artificial intelligence at Kapture.io is our AI chatbot, developed in collaboration with Somia Solutions, a Barcelona Activa-based platform specializing in intelligent agents.
This chatbot has been designed to serve as an expert quality assistant. This is not a generic chatbot, but rather an AI system configured with specific knowledge and a behavioral prompt designed to understand the user’s needs, respond thoughtfully, and guide them to the most appropriate resources within the Kapture.io ecosystem.
From the moment a visitor arrives on the website, the chatbot can help them navigate the site, answer initial questions, or find relevant information about quality management. In addition, the chatbot can provide blog content tailored to the person’s search, give them access to useful resources, or help them better understand how Kapture.io QMS can support their internal quality processes.

An AI configured to behave like a quality expert
The key to a chatbot lies not only in the technology, but also in how it has been configured. Its behavior has been defined using a specialized prompt that guides the AI to respond like a quality expert, with a clear, helpful tone focused on supporting the user.
This allows the assistant to go beyond simply providing generic answers and better interpret the intent behind each query, recommending resources related to quality management, digitization, QMS, audits, documentation, continuous improvement, or Quality 4.0.
Users can customize their experience on the Kapture.io website and go directly to the part of the site that is most valuable to them, without getting sidetracked, thereby saving time.
Partnership with a platform specializing in AI agents
To develop this first use case, Kapture.io has partnered with a platform specializing in artificial intelligence agents that is part of the Barcelona Activa ecosystem. This partnership has allowed us to experiment with smart assistants applied to a specific context: helping users interested in quality find answers, resources, and guidance from their very first interaction with the website.
This approach allows us to validate real-world AI use cases before integrating them more deeply into the QMS platform.
This also provides an extra layer of security, since by working with a tool specialized in chatbots, we can be sure that none of our information is sent to external public servers; we can adapt and correct the chatbot’s behavior in real time and update the AI chatbot so that we can continuously improve it based on user questions.
Automation Agent: The Next Step Toward a Smarter QMS
In addition to the chatbot, Kapture.io is working on a second AI agent designed for automation. This agent is intended to explore how artificial intelligence can help reduce manual tasks, speed up workflows, and facilitate the execution of processes within the quality assurance environment.
AI-driven automation can have a significant impact on many areas directly related to quality, such as document management, information classification, task tracking, audit preparation, nonconformity management, and the generation of operational summaries.
The goal is to move toward a smarter QMS, one capable of assisting users not only by answering questions but also by helping them carry out specific actions within controlled processes.
Why AI Agents Can Transform the User Experience in a QMS
One of the major challenges of any QMS is ensuring that users can find the information they need and use the system easily. Often, the problem isn’t a lack of documentation, but rather the difficulty in locating it, interpreting it, or knowing what step to take in each process.
AI agents can help address that challenge. An expert chatbot can guide the user to the right resource. An automation agent can reduce repetitive tasks. And a QMS platform with built-in AI can provide a more seamless, contextual, and action-oriented experience.
In this regard, AI does not replace the quality system; rather, it makes it more accessible, more useful, and more relatable to the people who use it every day.

How Kapture.io Is Moving Toward an AI-Powered QMS
The first step has been to apply AI to the user experience through a specialized chatbot capable of providing guidance, answering questions, and facilitating access to relevant content. The next step is to explore intelligent agents capable of assisting with more operational tasks, such as process automation, information classification, and support for workflow execution.
This vision aligns with a clear market need: high-quality teams need systems that not only store information but also help them work more effectively with it. In an environment where processes are becoming increasingly complex, AI can become an ally in improving efficiency, reducing processing times, and facilitating decision-making.
At Kapture.io, we view artificial intelligence as a support tool, not as a substitute for expert judgment. That is why any AI integration within a QMS must be designed with control, traceability, security, and human oversight. Quality cannot depend on opaque automation, but rather on intelligent systems that help people make better decisions.
In light of the above
An AI-powered QMS represents the next step in the evolution of quality management systems. Artificial intelligence improves access to information, guides users, automates repetitive tasks, and transforms internal knowledge into a more agile and useful experience.
At Kapture.io, we’re already working in this direction with real-world use cases, such as our AI chatbot developed in collaboration with Somia Solutions—a Barcelona Activa platform specializing in intelligent agents—and with new agents focused on automation within the quality assurance environment.
The goal is not to replace a high-quality team, but to provide tools that enable them to work more effectively. An AI-powered QMS can help reduce friction, improve the user experience, speed up processes, and enhance decision-making—all while maintaining control, traceability, and human oversight.
Artificial intelligence applied to quality is not just a promise for the future. It is an evolution that is already beginning to transform the way companies interact with their management systems.
